South Shore SBDC is Hiring! Office Assistant – Intern

I. JOB SUMMARY – PART-TIME: 

 The South Shore SBDC is currently looking for a dedicated, diligent, efficient, and well-organized Office Assistant – Intern. Primarily, the nature of the tasks and obligations performed by an office assistant involves the provision of support and managerial assistance to the administrative head and/or supervisor. We need an office assistant that is professional, service-oriented, out-going and proactive. 

Duties will be performed at the South Shore Chamber of Commerce offices located at 1750 E. 71st Street.

 

II.  PRINCIPAL DUTIES AND RESPONSIBILITIES: 

 The principal duties and responsibilities of an administrative assistant are as follows: 

  1. Organize and plan inter-office meetings;
  2. Regularly update the calendar of activities and engagements of the office/ department; 
  3. Document and diligently record the highlights and relevant dynamics of meetings, seminars, forums, business symposiums, and other related business conferences and gatherings; 
  4. Research, consolidate, organize and prepare reports and PowerPoint presentations both for the business executives and the company’s clients; 
  5. Collect and record data for qualitative and quantitative reporting
  6. Make venue reservations as per the conduct of the company-sponsored activities; 
  7. Considered as one of the  front-liners in terms of welcoming clients and other company guests; 
  8. Outline, prepare, organize, and update the schedule and work calendar of their respective administrative supervisors; 
  9. Depending on the circumstances and actual need of the office or company, the administrative assistant shall also perform general bookkeeping engagements and accounting subject to the review of his or her administrative supervisor or head; 
  10. Provide support in the administration of company contacts and correspondences; 
  11. Conduct and perform tasks and obligations pertaining to inventory control and management; 
  12. Contribute to looking for solutions to administrative problems and dilemmas;
  13. Perform basic administrative errands and other specific tasks which are directed by his or her immediate supervisor; 

III. Education:

 The administrative assistant must be a graduate or enrolled in an accredited university eligible for an internship with at least a junior standing. The ideal candidate for this position should be a business major that is familiar with community development.  This individual  should be proficient in all disciplines within the business spectrum to ensure the ability to assist the organization in any capacity required.

IV. Work Experience: 

 The ideal candidate must have working experience as an office assistant or administrator, aid, or support. 

V. REQUIRED SKILLS: 

The ideal candidate must possess the following skills: 

  1. Proficient in Microsoft programs, such as Word, Excel and PowerPoint
  2. Knowledgeable in graphic designing, using Photoshop, etc.
  3. Expert in making business reports and presentations; 
  4. Outstanding written and verbal communication skills 
  5. Has comprehensive knowledge pertaining to research and analysis approaches and systems; and other related skills.
