New South Shore Job position: Executive Office Liaison

I. JOB SUMMARY – full-TIME 

The Executive Office Liaison provides high-level administrative, planning and coordination support to the Executive Director, the Board of Directors, and select staff. This position handles a variety of complex and confidential situations. This multi-faceted role routinely interfaces with high-profile individuals such as Government and Business Leaders and Politicians. Given organizational overlap, this individual must be both detail-oriented and customer service focused on advancing the mission of both entities.

II.  Specific Duties: 

  • Oversee the ED’s complex calendar and prepare her for each meeting with directions, details on attendees, and necessary materials
  • Manage the schedule of appointments with members and partners
  • Communicate on a high-level, professional manner with community leaders, governmental officials, on behalf of the ED
  • Maintain confidentiality of Chamber matters and other sensitive and critical information
  • Coordinate monthly membership, Board and Executive Committee meetings with agendas, presentations, remarks, minutes; support presenters
  • Plan and coordinate agendas and meeting materials for bi-weekly Staff meetings. 
  • Track and manage follow up items and tasks from Staff meetings 
  • Create and manage email communications through Constant Contact, social media and website updates
  • Coordinate all aspects of Chamber meetings and events – set-up, tear-down and table arrangement
  • Perform additional duties as required to support this office​

III. Minimum Qualifications:

  • Minimum four years of progressive administrative experience
  • Strong computer and internet skills, including MS Office, Excel, Canva, Adobe, Google Suites
  • Graphic Design capabilities
  • Ability to demonstrate flexibility and take initiative
  • Ability to maintain professional appearance at all times
  • Ability to adapt quickly to schedule changes
  • Ability to function effectively under pressure
  • Skills in creating and/or modifying processes
  • Skills in effective oral and written communication
  • Skills in managing interpersonal relationship and team work
  • Skills in planning and organizing
  • Skills in time management to finish projects on time​
